We are seeking a highly organized and detail-oriented Operations Coordinator to support our business operations and assist leadership in ensuring smooth day-to-day functioning. This role will manage and coordinate Statements of Work (SOW), invoicing, employee onboarding/offboarding, and provide administrative support to Directors. The ideal candidate will be proactive, process-driven, and capable of juggling multiple priorities with precision.
Bachelor’s degree in Business Administration, Operations, or related field.
5+ years of experience in an operations, administrative, or coordinator role.
Proficiency in MS Office Suite (Excel, Word, PowerPoint), Google Workspace, and project management tools (e.g., Asana, Trello, Monday.com).
Strong organizational skills with attention to detail.
Excellent written and verbal communication skills.
Ability to manage sensitive information with discretion.
Self-motivated with a strong sense of ownership and accountability.
Preferred Qualifications:
Experience working in a fast-paced or startup environment.
Familiarity with basic finance or HR systems (e.g., SAP, Workday, QuickBooks).
Experience with vendor/client contract lifecycle management.

Operational Support:
Act as a point of contact for Directors to assist in daily administrative and operational tasks.
Prepare reports, presentations, and updates as needed for leadership.
SOW & Contract Management:
Coordinate the creation, review, and tracking of Statements of Work (SOWs) and other client/vendor agreements.
Ensure documentation is compliant, signed, and stored appropriately.
Liaise with internal stakeholders to ensure timely renewals or amendments.
Invoicing & Financial Tracking:
Work closely with the finance department to manage invoicing cycles for clients and vendors.
Track payments, follow up on outstanding invoices, and maintain financial documentation.
Onboarding & Offboarding:
Manage end-to-end onboarding for new hires, including system access, documentation, and equipment setup.
Coordinate offboarding processes including asset return, access removal, and exit documentation.
Process Improvement:
Identify opportunities to streamline operations processes and recommend improvements.
Maintain and update standard operating procedures (SOPs).
