Description:
The Employee Services department deals with all things connected to facilities (buildings, office maintenance, risk management), general administration, organizing events for employees, answering on employee requests, and supporting guest visits. We are here to take care of the general well being of our employees and support the organization in many aspects. Don’t think of us just as administration as we are so much more.
We are a nice team of people who are looking for an open, communicative and cheerful person who likes working in administration. Working in our department involves managing your time independently and prioritizing tasks. Each employee of our department has the right to express their opinion and present their proposals for improving our daily work. We work together, respect each other and work in a pleasant atmosphere, and the task manager is each of us. Requirements:
- Min. 2 years experience in an administrative position
- Familiarity with office tools and software – MS Office and Google docs
- Good knowledge of English – speaking and writing as this is the company’s main language
- Good communication and networking skills
- Professional personal presentation
- Good organization and planning skills
- Attention to details and reliability
- Ability to work independently and in a team
- Proactive attitude
- Customer orientation (working with internal customers) and emotional intelligence as the position requires close cooperation with other people.
Job Responsibilities:
- Support in administration of company’s reception – taking care of the reception appearance and the technical condition of the office
- Provide information and reports promptly
- Process tickets on GPS system
- Support Employee Services department
- Invoice processing in the Iproc system
- Mail and post management
- Support and supervision over the proper flow of internal and external documents
- Guests reception
- Welcome of newcomers
- Settlements of costs, describe cost invoices, invoices registration
- Cooperating with Landlords, technical services and external companies, etc.
- Organizing internal and external meetings
- Controlling and issuing of office access cards
- Implementation of other business tasks in accordance with the requirements
- Working on improvements of the Department
- Supporting other topics and other team members in different locations
