Requirements:
University student in Business Administration, Economics, Labor Relations, Communication, Architecture, Design, or related fields.
At least 5 years of experience in similar roles, preferably in companies with a significant headcount.
Extensive knowledge of computer tools (Excel, Word, PowerPoint), Google sheets
Intermediate to advanced knowledge of English.
Job Responsibilities:
1- Manage construction projects, supervising and coordinating tasks to ensure the building complies with Safety, Hygiene, and local Legislation requirements.
2- Respond to issues that arise in the buildings during and/or after working hours to meet agreed expectations.
3- Coordinate space allocation, internal and external moves, supervising the work to be done, and providing visibility of progress achieved.
4- Keep documents related to processes, procedures, and occupancy reports up to date.
5- Monitor the CCTV and HVAC systems, among others, to ensure the physical security of the offices.
6- Track tasks and the performance of the team in charge, if applicable, alongside the coordination and supervision of maintenance and cleaning services.
7- Cooperate with other GL departments that require support or work jointly with Employee Services to manage proper satisfaction for internal and external clients.
8- Hold regular meetings with key suppliers and actively participate in contract creation, supervising their performance, and providing updates to the corresponding area.
9- Implement and maintain standards, procedures, and plans using office administrative systems (Google Drive, Google Calendar, ERP, HelpDesk, etc.).
10- Manage general administrative tasks: PR entries and OP reception, energy consumption control and analysis, municipal and governmental procedures, and the administration of internal and external parking spaces.
11- Conduct onboarding of new employees to comply with established internal procedures.
12- Coordinate and execute activities and control of the Recycling program.
13- Participate in departmental audits.
14- Manage the annual budget for the services in charge to maintain the assigned margins.
15- Actively engage in environmental aspects, reporting to your supervisor any doubts or events that may arise in your tasks or those of any other colleague. Comply with environmental regulations.
